How Information Is Collected
Information is collected when someone emails FieldOps Studio, uses the project enquiry form, contacts us about a project, continues business communication, or uses a FieldOps-hosted website, form, or service. Basic analytics and server logs may also be created by the website, hosting, form, security, and infrastructure services used to operate FieldOps.
Why Information Is Used
- to respond to enquiries and business communication
- to understand requirements and prepare proposals
- to provide agreed website, app, hosting, email, infrastructure, analytics, automation, or support services
- to manage client projects, Office records, handovers, support, and follow-up
- to operate Microsoft 365 email, website forms, analytics, hosting, deployment, and business administration systems
- to protect websites, servers, accounts, logs, and infrastructure from misuse or security issues
- to keep accounting, legal, compliance, and business records where required
AI-Assisted Processing
Human-directed. AI-assisted. FieldOps-accountable.
FieldOps Studio uses AI-assisted tools and specialised agents to support development, infrastructure, documentation, communication, and operations. These systems work under FieldOps direction and controls. FieldOps remains responsible for the services we provide and for how personal information is handled.
Access to information is limited according to the task and our internal security and data-protection rules. Where approved external AI service providers are used, we assess the relevant product, contractual terms, data controls, and security safeguards before using them for business processing.
Legal Basis
FieldOps Studio may rely on legitimate interests for responding to business enquiries, operating the business, improving services, and protecting websites and infrastructure. We may rely on contract or steps before entering a contract when work is discussed, agreed, delivered, or supported. We may rely on legal obligation where accounting, tax, compliance, or regulatory records must be kept. Where consent is required, such as for some optional cookies or similar technologies, we will use consent for that specific processing.
Service Providers And Processors
Information may be shared only where reasonably needed, such as with trusted providers and advisers who help FieldOps operate, deliver, secure, or administer services. This may include:
- email and identity providers, including Microsoft 365 where used
- hosting, deployment, server, and infrastructure providers, including Hetzner-hosted infrastructure where used
- self-hosted forms and analytics services, including OpnForm and Umami where used
- AI-assisted tools, model providers, and agent systems where appropriate for the task
- professional advisers, payment, accounting, legal, or regulatory services where required
International Transfers
Some providers may process information outside the UK. Where that applies, FieldOps aims to rely on appropriate safeguards such as provider contractual terms, data-processing agreements, adequacy decisions, or standard contractual clauses. Provider-specific details can vary by service and should be checked for the relevant project or workflow.
Retention
FieldOps keeps personal information only as long as needed for the purpose it was collected, including enquiries, client work, support, business administration, security, accounting, and legal obligations. Different categories may have different retention needs. We avoid keeping unnecessary copies of sensitive material and prefer references to source records where that is enough.
Your Rights
You may have rights to access, correct, delete, object to, or restrict use of your personal information. You may also raise privacy concerns with the UK Information Commissioner's Office. To contact FieldOps Studio first, email hello@fieldops.uk.
Cookies And Analytics
We use self-hosted Umami analytics on this website. Umami helps us understand basic website activity, such as page views, referrers, device type, browser, and approximate location.
We use this information to improve the website and understand which pages are useful to visitors.
We do not use Google Analytics, advertising cookies, or cross-site tracking for this analytics setup. We are continuing to verify the detailed server-side retention and analytics configuration so the public notice remains accurate.
